Interior Designer for Office Space Fit-Out and Renovation (365 square meters) 

Background: 

Forest Foundation Philippines (doing business as Philippine Tropical Forest Conservation Foundation (PTFCF), Inc.) is a non-stock, non-profit, non-government organization that provides grants and technical assistance to organizations and individuals that empower the people to protect the forests.

The Foundation intends to engage an Interior Designer to design and support the fit-out/renovation of its office premises, measuring approximately 365 square meters, located at Valderrama Bldg., 107 Esteban St., Legaspi Village, Makati City, Metro Manila, Philippines. The project aims to create a functional, efficient, and professional work environment aligned with the organization’s operational needs.

Objective of the Assignment:

The objective of this assignment is to deliver a complete interior design solution for an office space, measuring approximately 365 square meters for the use of 35-40 employees, covering concept design, detailed drawings, specifications, and implementation support within approved budget and timelines.

Scope of Services:

The Interior Designer shall provide services including, but not limited to, the following:

A. Space Planning and Design

  • Conduct site assessment and needs analysis in close coordination with the Administrative Officer; 
  • Prepare space plans covering work stations, private offices, meeting rooms, reception, and support areas, and other types of spaces that may be agreed upon;
  • Develop interior design concepts, mood boards, and material palettes;
  • Prepare detailed layout drawings, including floor plans and furniture layout;     
  • Provide recommendations as to necessary Furniture, Fixtures and Equipment (FF&E) to meet design specifications, maximizing the use of existing FF&E as appropriate; and
  • Support selection of FF&E.

B. Implementation Support and Supervision

  • Throughout design and execution, coordinate with and provide regular updates to the Administrative Officer, who will oversee the entire project;
  • Coordinate with contractor(s) during fit-out works; and
  • Ensure adherence to approved design and provide design clarifications during execution, as needed.       

C. Compliance and Sustainability

  • Ensure compliance with fire safety, accessibility, and other relevant standards and current best practices; and
  • Promote cost-effective and environmentally-responsible design solutions.

Deliverables: 

The Interior Designer shall deliver the following:

  • Concept design package (space plans and mood boards);
  • Detailed design drawings and specifications;
  • Recommendations on FF&E; and 
  • Site visits and design implementation support, including site visit reports.     

Reporting and Coordination:

The Interior Designer shall coordinate with the Administrative Officer, in consultation with management and other relevant staff. All designs and deliverables shall be subject to the review and approval of the Foundation.

Duration of Assignment / Level of Effort:

The assignment is expected to be completed within 8-10 weeks, including design development and implementation support, starting from the date of engagement. The duration may be extended as needed, subject to the agreement of both parties.

Required Qualifications and Experience:

  • Degree or diploma in Interior Design or related fields;
  • Minimum of five (5) years’ experience in office interior design;
  • Proven experience delivering projects of similar size (300–500 square meters);
  • Knowledge of local building codes and office fit-out standards; and
  • Strong coordination and communication skills.

Fees and Payment Schedule:

The Interior Designer shall be paid a professional fee of Forty to Sixty Thousand Pesos (PhP 40,000 to 60,000.00) subject to withholding tax, payable according to the following milestones:

  • 20% upon signing of contract; 
  • 40% upon submission and acceptance of the draft detailed design;
  • 20% upon submission and approval of final details design and completion of support to the execution of the project; and
  • 10% upon completion and acceptance of the project.

Confidentiality:

All information related to the project shall be treated as confidential and shall not be disclosed to other parties without prior written consent from the Foundation.

Ownership of Work:

All drawings, designs, and documents produced under this assignment shall be the property of Forest Foundation Philippines.

Termination:

Either party may terminate the assignment by providing 15 days written notice in accordance with the contract terms.
