BACKGROUND:
Forest Foundation Philippines (doing business as Philippine Tropical Forest Conservation Foundation (PTFCF), Inc.) is a non-stock, non-profit, non-government organization that provides grants and technical assistance to organizations and individuals that empower the people to protect the forests. The Foundation was established in 2002, under two bilateral agreements between the Governments of the Philippines and the United States of America to treat and redirect around USD 32M of debt into a Tropical Forest Conservation Fund (TFCF) over ten years.

To effectively manage the Fund, the Foundation crafted its medium-term strategies, the Results Framework 2017-2021 and Results Framework 2022-2027. Under the new medium-term Results Framework, the Foundation will continue employing a sustainable forest landscape approach. Through this, the Foundation will work with partners to protect and sustainably manage the forests for water, land, and biodiversity, while also fostering forest-related climate action.

In addition to its TFCF portfolio, the Foundation’s grant work is expanding significantly with the launch of the Philippines-Canada Partnership on Nature-based Solutions for Climate Adaptation (PCP4NBS) and continued grant-making in its SIBOL and SILG projects. This growth creates the need for a Grant Administration Associate to support all these initiatives.

DUTIES AND RESPONSIBILITIES:
Under the supervision of the Grant Administration Officer, the Grant Administration Associate will provide comprehensive administrative support in all stages of the grant lifecycle from proposal development to grant closure. S/he will work closely with the Forest Foundation internal team, and all of the Foundation’s grantees and partners. The Grant Administration Associate will:

  1. Provide support to the management of all documents relating to proposals and grants including the digitization of program-related documents and maintaining organized filing systems;
  2. Provide support to the management of the program team’s calendar and timelines;
  3. Facilitate program-related administrative arrangements and routine financial transactions (Requests for Payment and Petty Cash Fund upon regularization) and the shipping of audit stamps;
  4. Assist proponents in creating accounts and in lodging proposals, as needed;
  5. Maintain updated proposal and reporting templates, as needed;
  6. Provide administrative support during internal and external meetings;
  7. Provide support on the preparation of partnership agreement briefs, memorandum of understanding and accreditation requirements for some of the private sector partnerships of the Foundation; and
  8. Perform other tasks as assigned by the Grant Administration Officer and the Executive Director.

QUALIFICATIONS, EXPERIENCES, AND COMPETENCIES:
The position requires substantive administrative work, coordination, and attention to detail. The applicant should possess the following:

  1. A bachelor’s degree in non-profit management, office administration, communications or related fields;
  2. Minimum of two years work experience in support roles in the non-profit sector, familiarity with grant making work is an advantage;
  3. Excellent administrative and organizational skills;
  4. Strong service orientation with a commitment to supporting both internal teams and external stakeholders;
  5. Can work individually and effectively with teams;
  6. Strong multi-tasking abilities, maintaining accuracy and efficiency under pressure and tight deadlines;
  7. Good verbal and written communication skills, with the ability to act with tact, diplomacy, discretion and respect for confidentiality;
  8. Demonstrated proficiency in MS Office and Google Workspace, with strong typing and data entry skills;
  9. A genuine commitment to the environment and local communities.

COMPENSATION:
The Grant Administration Associate shall receive a compensation commensurate to their qualifications and professional experience. Basic salary ranges from PhP 25,000.00 to 30,000.00 (gross) monthly. Benefits will include mandatory government contributions, insurances, annual clothing allowance and performance bonus, as appropriate. DURATION AND PLACES OF WORK:
The Grant Administration Associate is a regular position. There will be a six-month probation period, followed by a substantive evaluation. The contract will be reconfirmed by the Executive Director upon favorable evaluation.

The Grant Administration Associate will be based in Forest Foundation Philippines’ office in Makati City with occasional travel to the focal landscapes, when necessary.
